2. Collection and Storage of Personal Data
When you register for the tournament, we collect the following data, which is stored in a registration file (registrations.csv) on our server:
- Timestamp of registration
- Surname, Given name
- Email address
- Country (Nationality/Association)
- Playing strength (Rank/Elo)
- Participation in specific tournaments (WOSC, ESC, Team, Blitz, RDC)
- Orders for catering (Lunch Buffet)
- Participation in the social program (Sightseeing, Dinner)
- Contents of communications (Messages/Notes)
3. Spam Protection (IP Logging)
To prevent spam and automated mass registrations, we process the IP address of the accessing system. The IP address is stored together with a timestamp in a temporary log file (ip_logs.csv) for a maximum of one minute. If multiple registrations are attempted from the same IP address within this short period, further requests are temporarily blocked. The legal basis for this processing is our legitimate interest (Art. 6 Para. 1 lit. f GDPR) in ensuring the security and functionality of our registration system.
4. Purpose and Legal Basis of Processing
The processing of your data is carried out for the following purposes:
- Organization and execution of the tournament (Legal basis: Art. 6 Para. 1 lit. b GDPR – performance of a contract).
- Publication of participant lists and results (Legal basis: Art. 6 Para. 1 lit. f GDPR – legitimate interest in reporting and transparency in sports).
- Processing of payments and invoicing.
- Communication regarding the tournament.
- Protection against misuse and spam (Legal basis: Art. 6 Para. 1 lit. f GDPR).
5. Disclosure of Data
Your data will only be disclosed to third parties if this is necessary for the execution of the tournament. This includes in particular:
- Transmission of results to the Federation of European Shogi Associations (FESA) for the calculation of Elo ratings and for official ranking lists.
- Publication of name, country, and rank in the public participant list on this website.
6. Retention Period
Registration data: We store your data as long as it is necessary for the organization of the tournament and the fulfillment of legal retention obligations (e.g., tax-related evidence for payments). Tournament results and placements are permanently archived and published as part of sporting history.
IP logs: IP addresses in the spam protection log are overwritten or deleted after a very short time (usually after 1 minute).
7. Your Rights
You have the right:
- pursuant to Art. 15 GDPR, to request information about your data processed by us;
- pursuant to Art. 16 GDPR, to request the correction of incorrect data;
- pursuant to Art. 17 GDPR, to request the deletion of your data stored by us, provided that no legal reasons prevent this;
- pursuant to Art. 21 GDPR, to object to the processing.
